OPERATIONS PRACTICE FOR GROWING SERVICE BUSINESSES

The work that falls between your people and your systems.

As a service business grows, enquiries get missed, work gets dropped between people, and the same details get entered twice — even though you've already paid for the tools. Opriva finds where the work gets stuck, then fixes it in the simplest way that lasts.

A clear first step, no software pitch. You'll always understand what we changed and why.

A short introduction

A quick explanation of how Opriva works — the problems we focus on, and how we approach them.

As a service business grows, work starts falling between your people and your systems. Enquiries get missed. Work gets dropped between people. The same details get entered twice — even though you've already paid for the tools.

It usually shows up in four places: leads that never get a follow-up, handoffs where nobody's sure who owns what, data you can't rely on, and simple questions that take far too long to answer. These aren't four separate problems. They're four faces of the same one.

Opriva doesn't start with software. We start with one workflow. You describe where work is getting stuck. We map where it breaks. Then we fix the most valuable problem first, in the simplest way that will hold — often with the tools you already pay for. And we document everything, so it keeps working without us.

Take a typical enquiry. Today it lands in a shared inbox, and follow-up depends on someone remembering. After: one intake, one owner, and a reminder that always happens.

The simplest way to begin is a Focused Workflow Review: a one-page map of how one workflow really runs, where it breaks, and a recommended first fix.

Tell us where work is getting stuck. We'll read it properly and give you a straight answer on whether we can help.

Growth doesn't break your tools. It exposes the gaps between them.

Most service businesses reach the same point as they grow. More enquiries, more cases, more people involved, more tools in the mix — and slowly, more of the work starts falling into the gaps between them. Here's what that usually looks like.

  • Leads & follow-up

Enquiries come in by phone, email, web form and WhatsApp — and some quietly never get a reply. Follow-ups depend on someone remembering. Good leads go cold before anyone notices.

  • Handoffs & ownership

Work moves from one person or department to the next, and things get dropped in between. "I thought you had it." Nobody's quite sure who owns what after the first step.

  • Data you can't rely on

The same information gets typed into two or three places. Spreadsheets appear on the side. When there are three versions of the same figure, people stop trusting any of them.

  • Reporting & visibility

Simple questions — how many, how long, what's stuck — take longer than they should to answer, because someone has to rebuild the numbers by hand first.

These aren't four separate problems. They're four faces of the same one: work slipping through the gaps as you grow.

Find where the work gets stuck first. Then fix it in the simplest way that makes sense.

We don't start with software, and we don't assume automation is the answer. We start by understanding one workflow properly — then we fix the thing that's actually costing you the most.

  1. Describe

You tell us where work is getting stuck. No prep, no forms to fill in for an hour — just the process that's giving you the most trouble.

  2. Map

We look closely at that one workflow and map where it breaks: the manual steps, the dropped handoffs, the points where data goes wrong. You get this as a clear, one-page picture.

  3. Fix

We fix the most valuable problem first — in the simplest way that will hold. Sometimes that's switching on something your current tools already do. Sometimes it's cleaning up data, a clearer owner, a single place for enquiries, a reliable follow-up, or a report you can actually trust. Sometimes it's connecting two systems, or automating a repetitive step. The problem decides — not the technology.

  4. Keep it working

We document what changed and hand it over, so it keeps running without us. If it's useful, we can stay on for future improvements — but that's your call, not a lock-in.

How we think about a stuck workflow.

These are sample scenarios, not client projects. They show how we work through a stuck workflow — from spotting where it breaks to the simplest fix that holds.

Sample workflow map

Where a maintenance request gets stuck

Sample scenario.

In this sample scenario, a facilities-maintenance company receives job requests by phone, email and WhatsApp. The map shows where the work falls through the gaps — and how a few simple changes close them.

Before

Manager
  • Phone
  • Email
  • WhatsApp
Coordinator
Scheduling tool
Field technician
Billing
  1. Requests arrive in three places; WhatsApp ones aren't logged centrally.
  2. The coordinator copies details into the scheduling tool by hand, sometimes a day later.
  3. A job is assigned, but no one owns chasing the technician's update.
  4. Completed jobs sit for days before billing hears about them.
  5. The manager can't see how many jobs are open without asking each person.

After

One intake inbox all three channels feed into
Each job has a single named owner
A status the whole team can see
Billing triggered when a job is marked done (a feature the existing tool already supports)
One standing report of open jobs

Before / after

From "someone will follow up" to a follow-up that always happens

Sample scenario.

In this sample scenario, a training provider's follow-up depends on someone remembering to chase each enquiry. The "after" shows the same process with one intake, one owner, and one reliable reminder.

Before

Enquiry
Shared inbox
Maybe someone replies
No reminder if they don't
Enquiry goes cold

3 places an enquiry can be lost.

After

Enquiry
One intake
One owner assigned automatically
A reminder if there's no reply in 24 hours
Clear "won / lost / waiting" status

Every enquiry has an owner and a next step.

What the Focused Workflow Review gives you

Sample scenario — sample data.

In this sample scenario, this is what the one-page Focused Workflow Review looks like: the map, the points where work breaks down, and the recommended first fix.

SAMPLE

Focused Workflow Review

Sample scenario: maintenance requests

Where it breaks:

  • Requests arrive in three places; WhatsApp ones aren't logged centrally.
  • Details are copied into the scheduling tool by hand, sometimes a day later.
  • No one owns chasing the technician's update.
  • Completed jobs sit for days before billing hears about them.

Unnecessary manual steps:

  • Re-typing request details into the scheduling tool.
  • Asking each person how many jobs are open.

Recommended first fix:

Route phone, email and WhatsApp requests into one intake inbox, and give every job a single named owner.

Built on hands-on operations experience.

The practice is built on its founder's hands-on experience inside high-volume, multi-department service operations — the kind of environment where these breakdowns happen every day. That includes:

  • Coordinating operations around roughly 8,000 active service contracts, across around eight departments.
  • Handling 100+ cancellation cases a month — and proposing a centralised way to handle cancellations across those departments.
  • In a separate B2B software business, leading a small team and helping improve upsell conversion from about 22% to 41%.

This is employment experience, not a client case study or a promise of the same numbers for you. It's why we recognise these problems quickly.

The person behind the practice

Mohamed Galal — Founder, Opriva

Mohamed is the person behind the practice. His background is in high-volume service operations, so the problems on this page are ones he has seen from the inside — not from a slide deck.

He works with the tools most service businesses already run — Dynamics 365, Salesforce and Zoho CRM, plus Power BI and Power Automate for reporting and connecting systems — but he always starts with the problem, not the tool.

Clients work directly with Mohamed — no sales layer, no hand-offs. Opriva is a small, independent practice, and he works in English and Arabic.

Your systems stay yours.

Letting someone into your operations is a big ask. Here's how we work so it stays low-risk.

  • You stay the owner. Everything we set up or change belongs to you — the configurations, the workflows, the documentation.

  • We work inside your own accounts wherever practical, not in a black box only we can see.

  • Access is limited to what the job needs, and nothing more.

  • Everything is documented and handed over, so your team can run it without us.

  • An NDA is available whenever you'd like one in place.

  • When the work is finished, our access is removed and any working copies of your data are deleted.

Start with one workflow.

The best way to begin is small and concrete. The Focused Workflow Review is a close look at one operational workflow — the one that's costing you the most right now. You come away with a clear map of where the work breaks and a recommendation for what to fix first.

What you get

  • A one-page map of how the workflow really runs today
  • The specific points where it breaks down
  • The manual steps that shouldn't be necessary
  • Where ownership and handoffs are unclear
  • Where data or systems are letting you down
  • A recommended first fix — the most valuable, most practical place to start

The Review is scoped after a short first conversation, once we understand the workflow — no obligation to go further.

Sample scenario — sample data.

FAQ

Usually not. Often, the CRM you already have can do more than it's currently set up to do — we'll show you how to switch that on rather than sell you something new. We'd only suggest changing a tool if it's genuinely the thing holding you back.

You deal directly with the people doing the work. There's no account manager in between, no hand-off to someone junior after the first conversation, and no reason to repeat yourself to three different people.

It's a close look at one workflow, ending in a one-page map and a recommended first fix. Scope is agreed after a short first conversation, once we understand the workflow — no obligation to go further.

We're a remote practice for service businesses in the Gulf — especially the UAE and Saudi Arabia — and in the UK and Europe. All work is done remotely: video calls, screen-share, and working inside your own systems. We keep hours that overlap comfortably with both regions, and we work in English and Arabic.

We reply to every enquiry within 24 hours.
